Disclosure: Torzil publishes this checklist and is the billing system assessed in it. For a scored comparison of 12 platforms, see the best gym management software in India.
The short answer
For an Indian gym, the best billing software is the one that gets GST right on every invoice and records every exception - part payments, dues, write-offs, cancellations and failed online payments - while accepting UPI and recurring payments. Torzil’s gym billing includes custom GST rates with rate history, tax breakups, branded PDF invoices and receipts, part payments with due dates, write-offs, cancellations, failed-payment tracking, Razorpay and UPI, recurring payments, and payments and GST reports in Excel or PDF.
What makes gym billing software good
Billing software is judged by the awkward cases, not the easy ones. Any tool can invoice a member paying the full amount in cash. The questions that separate tools are:
- What happens when a member pays half now and half next month?
- What happens when the GST rate changes - do last quarter’s invoices change too?
- What happens when an online payment fails?
- What happens when an invoice has to be cancelled after a dispute?
- Can the accountant get a GST report without re-typing anything?
The gym billing checklist
| Requirement | Why it matters | Must-have detail |
|---|---|---|
| GST invoices | Legal requirement for registered gyms | GSTIN, SAC/description, taxable value, rate, tax breakup, sequential number |
| Rate history | Rates change; history must not | New rate applies from a date; old invoices untouched |
| Branded PDFs | Professional, shareable | Logo, address, terms |
| Part payments & dues | Common in Indian gyms | Balance with due date, visible and reminded |
| Write-offs & cancellations | Disputes happen | Recorded actions, not deletions |
| Failed payment tracking | Silent failures become lapses | Visible list of failed online attempts |
| Online collection | Members pay by UPI | Gateway integration, UPI, recurring payments |
| Delivery | Members read WhatsApp | Invoice and payment links on WhatsApp/SMS |
| Reports | CA and owner need them | Payments and GST reports, Excel/PDF |
| Branch billing | Multi-branch gyms | Branch-level invoices and reports |

Where Torzil is not the cheapest: budget tools that only issue invoices cost less. Torzil starts at Rs 1,500 per month as an all-in-one gym platform, so compare it with the combined cost of the separate tools you would otherwise need.
The five-minute billing test
Before you buy any gym billing software:
- Ask for a real GST invoice generated by the system.
- Record a part payment and show the due appear in reports.
- Change a GST rate from next month and show last month’s invoices unchanged.
- Cancel an invoice and show the audit trail.
- Export the GST report and check it against the invoices.
Billing and the 2025 GST change
Gym GST moved on 22 September 2025 from 18% with input tax credit to a mandatory 5% without input tax credit, as CBIC has clarified. That makes rate history a practical test rather than a nice-to-have: invoices before that date must stay at 18% and later ones carry 5%. Confirm your position with a CA.
