Why gym payroll is harder than it looks
A gym’s team is small but complicated. Front-desk staff on rotating shifts, housekeeping on fixed hours, trainers on a salary plus PT commission, a manager with a week-off on Tuesdays, part-timers who cover peaks. Paying them correctly means knowing who actually came in, which days were week-offs, which leave was approved, and how many PT sessions each trainer delivered. Most gyms work that out in a spreadsheet at month end - which is slow, error-prone and a regular source of disputes.
What Torzil’s payroll covers
| Capability | What it does |
|---|---|
| Attendance-linked payroll | Pay calculated from staff check-ins on biometric or QR attendance |
| Shift policies | Shift rules applied to attendance |
| Week-off policies | Weekly offs per staff member, so they are not counted as absences |
| Leave management | Leave requests and approvals, applied to payroll |
| Trainer commissions | Commissions and trainer earnings included in pay |
| Frozen pay runs | Finalised payroll locked against later edits |
| Branch assignment | Staff assigned to branches for branch-level costs |
Staff management around payroll
Payroll sits on top of Torzil’s staff and trainer management: role-based permissions (front desk can record a payment but not edit one), branch assignments, trainer specialities, client load and earnings. The gym staff management guide explains how to set roles up.
A month-end in Torzil
- Staff check in on the gym’s biometric devices or QR all month - the same systems members use.
- Leave requests are approved in the Admin Portal or the Staff App as they come in.
- At month end, payroll applies attendance, shifts, week-offs and approved leave.
- Trainer commissions are added from tracked earnings.
- The manager reviews and freezes the pay run.
- Salaries are recorded as branch expenses, so net profit reflects real staff cost - see expenses and analytics.
The gym payroll guide walks through policies and common mistakes.
Why gyms should not run payroll in a separate tool
When payroll lives in a different system, attendance has to be exported and re-entered, commissions are calculated from a different set of PT numbers than the client sees, and staff cost never appears in branch P&L without manual work. Keeping payroll in the gym platform removes all three.
Payroll from data the gym already collects
Payroll is not standard in gym management software. Torzil includes attendance-linked payroll, leave approvals, shift and week-off policies, trainer commissions and frozen pay runs in the platform, using the attendance data the gym already collects.
