Gym Payroll Guide: Attendance, Shifts, Week-Offs, Leave and Month-End

How to run gym payroll: attendance-linked salaries, shift and week-off rules, leave, trainer commissions, frozen pay runs and common mistakes.

Payroll at a gym is small in headcount and big in exceptions: rotating shifts, week-offs on different days, part-timers, trainers on salary plus commission, and leave that is requested on WhatsApp at 6am. This guide sets out a process that keeps salaries correct and arguments rare.

Step 1: write the policies down

PolicyDecide
ShiftsShift timings per role; grace period for late arrival
Week-offsFixed day or rotating; whether working a week-off earns extra
LeaveTypes, entitlement, notice, who approves
Half daysHow short attendance counts
CommissionsStructure for PT and sales incentives
Pay dateWhen salaries are paid; cut-off for the month

Policies that live in someone’s head get applied inconsistently. Inconsistency is what staff complain about.

Step 2: record attendance in the same system as members

Staff should check in on the same biometric device or QR system as members. It removes the separate staff register and gives you timestamps nobody argues with. See gym attendance software.

Step 3: route leave through one queue

Leave requests should go into one place, be approved or rejected with a reason, and flow into payroll automatically. Managers should be able to approve from their phone.

Step 4: calculate commissions from session data

If trainers earn PT commission, calculate it from the sessions recorded against each client’s package - the same balance the client sees. The trainer commission guide covers structures.

Step 5: review, then freeze

At month end:

  1. Check attendance exceptions - missed punches, unknown entries.
  2. Confirm approved leave is applied.
  3. Review commissions against delivered sessions.
  4. Approve and freeze the pay run so it cannot change after payment.
  5. Record salaries as expenses against each branch, so net profit reflects staff cost.

Common payroll mistakes in gyms

  • Paying from a register instead of recorded attendance.
  • Week-offs counted as absences because the system does not know about them.
  • Leave approved on WhatsApp and never recorded.
  • Commissions calculated from memory or a trainer’s own notes.
  • Editing last month’s payroll after it was paid.
  • Staff cost missing from branch profit.

Frequently Asked Questions

How should a gym calculate staff salaries?

Start from recorded attendance, apply each person's shift and week-off policy, account for approved leave, add commissions or incentives, and deduct anything agreed. Using attendance from the gym's biometric or QR system avoids disputes over who was present.

Why should a gym freeze its pay run?

A finalised month's payroll that is locked so it cannot be edited afterwards, protecting paid salaries from accidental changes and providing an audit trail.

How should gyms handle leave?

Use a written leave policy, require requests in advance where possible, approve or reject them in one system, and let approved leave flow into payroll automatically.

Should trainer commissions be part of payroll?

Yes. Calculating commissions in the same system that tracks PT sessions avoids a second set of numbers and disputes over sessions delivered.
